From the host's side of the follow-up

What Registrants Hear Between Signing Up and the Session

The confirmation, the calendar file inside it, the automatic reminders, the note you add yourself, the pack after. Which parts run on their own, and which are yours to write.

    The two kinds of follow-up

Once someone registers, two different things keep the session alive for them. The first is the product: a confirmation email landing in their inbox with their private access link, an .ics calendar file and a Google Calendar link inside it, then automatic reminder emails at 24 hours, one hour and fifteen minutes before the start. You set none of those timings individually; they run unless you switch the reminders off.

The second kind is anything you write yourself. A pre-work note, a bring-one-question line, the slides pack afterwards โ€” messages from a named person that add something the schedule cannot. The honest way to read this page: the machinery handles attendance logistics, and you handle the part that makes a session feel worth attending.

    The timeline, from their side

    Minutes after registering: the confirmation

Their own access link โ€” the private one, unique to them โ€” plus the date with its zone label. The meeting address is never broadcast to the public page, so this email is their way in and nobody else's.

Inside the same email: the calendar help

An .ics file and a Google Calendar link. That is the whole calendar feature: they add the session themselves, on their side. There is no sync and nothing to install.

The day before: a note from you

Optional, short, and the only follow-up that can carry new information โ€” what to bring, which block matters.

The automatic three: 24 hours, one hour, fifteen minutes

Emails to every registrant on the schedule, doing the diary work while you stay out of the way. The switch is yours; the sending is not something you manage.

After the session: your own links

You send registered attendees the links you supply yourself โ€” slides, a replay if you recorded one, resources, feedback, any certificate you issue. Follow-ups go to segments of the registrant list.

Three follows worth writing by hand

One short message each, timed to what the reader can still do with it.

The pre-work note, a week out
You're on the list for Thursday โ€” no reply needed. One small thing before the hour: find the last quote you sent a client and keep it handy. We'll be working with it. Your link to join is in the confirmation email, and the calendar file is attached to that same message.
The bring-one-question line, two days out
The middle block is the part people email me about afterwards, so bring the question you actually have about fixed pricing โ€” the session leaves room for them. See you Thursday, 6pm CET.
    The after-pack, the next morning
Thanks for Thursday. The template we built in the third block is here: <your link>. The slides are here: <your link>. One ask: the feedback note takes ninety seconds and shapes the next one.

What the sequence does not include

    • No WhatsApp to the attendees. Reminders are emails; the WhatsApp side of the webinar flow only notifies you, the host, as names land.
    • No calendar sync, Outlook add-in or Apple event. The .ics file and the Google Calendar link inside the confirmation are the entire calendar help.
    • No polls, no platform for live questions, no recording or certificate generated for you. Anything sent after the session is your own link, sent by you.
    • No approval step. If the settings screen offers anything that reads as approve-before-admitting, it does not gate the door โ€” the page registers people as they arrive, and your cap and waitlist are the real controls.
    • No second session hidden in the same link. One page, one date; the follow-ups above belong to that one hour.

Why the private link matters here

One quiet design decision gives this sequence its spine: every registrant gets their own access link instead of one address handed to everyone who finds the page. The confirmation is therefore the most important email of the whole chain โ€” it holds the way in โ€” and every later reminder can simply point back to it.

Seen from your side, the list carries the story in statuses marked as you saw the room on the day, exportable as CSV or PDF when you need it. The follow-up is not a marketing channel; it is the thread tying a name on a list to a face in the session, and most of the tying happens on schedule without you.

    How it works

    Setting up the sequence

Register the first name and read the confirmation

Test with your own name and email and see what lands: the private access link, the .ics file, the Google Calendar link. Everything after is written against that email, so knowing it changes how you word the rest.

    Leave the reminder switches on

The 24-hour, one-hour and fifteen-minute emails go out to every registrant automatically. They are the load-bearing walls of attendance โ€” the personal notes you add sit between them, not on top of them.

Write the one note only you can write

A short message with a new fact: what to bring, which block matters, who to greet. One sentence from a named person does more than a campaign paragraph.

Follow up from your own links, to your own segments

Afterwards, send the slides, resources or feedback links you supply yourself to segments of the registrant list, and mark the statuses against who you actually saw in the room.

    Questions

Common questions about webinar follow up after signup

Do I need to send a calendar invite myself?

No. The confirmation email every registrant receives already carries an .ics file and a Google Calendar link โ€” that is the whole calendar feature. You could mail your own invite as well, but nothing on this flow requires it.

Can I remind attendees over WhatsApp?

The webinar flow does not do that. Reminders to registrants go by email, and WhatsApp is how the host gets told someone registered. If you belong to a chat with your attendees, pasting the page link there is always yours to do personally.

What can I send after the session?

Whatever links you supply yourself โ€” slides, a replay you recorded, resources, a feedback form, a certificate you made. The product sends those links to segments of the registrant list; it does not generate any of the content.

Do people who registered long ago still get the reminders?

Yes โ€” the schedule runs against the whole registrant list, whoever is on it and whenever they joined. That is what makes the day-before email worth writing: it reaches someone who signed up months ago and had genuinely moved on.

    Get Started

The follow-up is mostly already running

One confirmation email, three scheduled reminders, and the one short note only you can write. Spend your effort on the note; the sequence handles the rest.
